All RSU9 devices are to be returned upon the last day that you are actually working in Mt. Blue Regional School District facilities. This is not necessarily the same as your last contract day. Devices are needed for incoming employees and this allows us to be respectful of those joining us. Please remember to return all devices AND the chargers, cables, adapters, bags and any other technology supplies that were given to you.
You are solely responsible for saving any data that you wish to and are allowed to retain from your district devices or accounts. The District has no obligation to backup, transfer or retain any district, personal, or other data for you to access once your employment with RSU9 ends.
It is a violation of FERPA regulations to transfer or personally retain any documents, files or emails that contain Personally Identifiable Information (PII) or protected student records. All sensitive or confidential student data must remain within the District's secure systems and should be deleted from any personal devices or accounts prior to your final day with the District. In addition, you should not alter, delete or otherwise destroy any documents, files, or emails that contain PII or other protected student records from your district devices or accounts before leaving as they may be subject to federal, state or district data retentions rules.
Please note that your device(s) may be erased immediately upon return to the IT Services department so be sure to back up data before turning it in.
Saving files from your laptop:
Files saved on your laptop can be copied to a personal Google Drive or an external storage device (hard drive, flash drive, etc). There is a tool in Self Service that you can use to backup data from your school issued laptop to a USB connected storage device. Instructions can be found here.
Saving files from your iPad:
Files on your iPad can either be Air Dropped to another Apple device or you can log into a personal Google Drive account (through a web browser) and then uploaded from the iPad to the Drive account.
There are two main ways to backup data stored in your Google Drive account; download and save to physical media or a personal cloud storage or transferring to a personal Google account.
Downloading files to your local device is more time consuming and will not retain the file type for Google app created files. By default, files will be downloaded as Microsoft equivalent formats (.docx, .xlsx, pptx, etc.). You can select multiple files or folders at a time and they will be downloaded as a zip file.
Transferring files to a personal Google Drive account involves creating a folder in your personal Google Drive account and sharing the folder with your District Google Workspace account. Once you have shared the folder, you can move files from your District account into the shared folder.
Signing out of your iCloud account (aka. your Apple ID) ensures that the device you were assigned to by the district is not locked in anyway. This shouldn’t generally happen but in a situation where it does, we may have to try to track you down!
To sign out, choose the Apple menu > System Settings, then click your name (Apple ID) in the sidebar. On the right, scroll down and click Sign Out. When asked whether to keep a copy of your iCloud data on this Mac, you can keep a copy, because we will erase your Mac later. Your iCloud data remains in iCloud and on other devices that are signed in to iCloud with your Apple ID.
IMPORTANT: To remain in compliance with FERPA and other federal, state and District data security and compliance policies, your account(s) CANNOT be reinstated after your final day of employement!
Your Google Workspace account will likely stay active until your last day of employment with us here at Mt. Blue. For hourly and at-will employees, this will be your last day working on site. For professional staff, this will be the last day of your contract term. While we try hard to keep to this timeline, we do reserve the right to suspend your account at any time, for any reason, so you should be prepared to lose access to your account on your last day of actual work in the district.
For those employees with access to PowerSchool, your access will be suspended on the last day that you need access to perform your duties here. For most, this will be the last day of school. If you need access beyond that point for any reason, you should contact IT Services AND Human Resources as both departments are involved in suspending PowerSchool access.
Due to the large number of district services that various employees have access to, it is impossible to list all of them and respective suspension timelines. You should plan to lose access on your last day working in the district and if you require access beyond that time for any reason, you should reach out to IT Services or the respective department that maintains account access for a particular system.
If you have used your district credentials to register for non-school related services, you should change the account(s) to use an personal, non-district email address. Once your RSU9 account is deactivated, you will no longer have access to receive information or password reset emails from those outside accounts.
